Booklet Management

Booklet Management is the systematic process of organizing, distributing, and maintaining booklets used for various purposes such as exams, workshops, or training sessions. This involves creating and assigning booklet groups, keeping track of the number and usage of booklets, ensuring they are available when needed, and managing any issues related to their distribution.

Effective booklet management ensures that all participants have the necessary materials, reduces the chances of errors, and maintains an organized system for tracking booklet usage.

The goal of booklet management is to streamline the process, making it efficient and hassle-free, ensuring that everyone involved has access to the necessary materials at the right time.

  • Creating Booklets: Organizing booklets into groups based on specific criteria such as subject, class, or event.

  • Assigning Booklets: Distributing booklets to specific groups or individuals based on requirements.

  • Tracking Usage: Monitoring the distribution and usage of booklets to ensure they are being utilized correctly.

  • Maintaining Inventory: Keeping an updated record of the number of booklets available and replenishing stock as needed.

Booklet name along with the total number of booklets are displayed.

Editing

Click on Edit icon corresponding to the record, making the necessary changes, and update.

Viewing

Clicking on View (eye icon) next to a booklet group allows you to view more details about that specific group of booklets.

Detailed information w.r.t. booklets are gotten:

  • Barcode: A unique barcode is auto-generated for each booklet. Barcode helps in uniquely identifying and tracking each booklet.

  • Assigned Status: This column indicates the current status of each booklet. In this case, all booklets are marked as UN-ASSIGNED, meaning they have not yet been allocated to any specific purpose or individual.

  • Assigned Student: This column shows the student to whom the booklet is assigned. If a booklet has not been assigned to a student, this field is marked with --. Currently, no student has been assigned.

  • Assigned Course: This column lists the course to which the booklet is assigned. Like the student column, if no course has been assigned, this field is marked with --. Currently, all entries show --, indicating no course assignments.

  • Exam Type: This column indicates the type of exam for which the booklet is intended. If the booklet is not yet linked to an exam type, this field is marked with --. Currently, there are no exam type assignments.

  • Notification ID: This column lists notification IDs associated with each booklet. These IDs can be used to track specific notifications related to the booklet.

This structure helps keep track of each booklet's status, assignments, and related information, making it easier to manage and distribute them as needed.

Generating Booklets

To generate booklets,

  • Select Type: Choose the type of booklet you need - Booklet or OMR.

  • Template: Pick a template to format the booklet according to your requirements.

  • Click Generate.

Log

The system keeps a log of all generations. Click Booklet Generation Logs.

Creating a Booklet Group

To create a new booklet group,

  1. Click Create Booklet Group at the top right corner.

  2. Enter Group Details:

  • Name: Type the name for the booklet group.

  • Number of Booklets: Specify the number of booklets needed for this group.

  1. Submit to create the new booklet group.

This will add a new entry to the list of booklet groups, allowing you to manage and distribute booklets more efficiently.

The auto-generated unique barcode (as above) will be attached to the student who is assigned the booklet. All details are then filled in.
