Handouts Management

Overview

The Handouts Management feature allows faculty members to upload and distribute study materials to students efficiently. This tool enables instructors to organize educational resources by units and topics, making it easy for students to access relevant materials through both web and mobile platforms.


Key Features

File Upload and Distribution: Upload various file types including PDFs, DOCs, and PPTs for student access.
Unit and Topic Organization: Organize handouts by curriculum units and specific topics for better structure.
External Link Integration: Add external URLs for additional reading materials and resources.
Cross-Platform Access: Handouts automatically appear in both Student and Faculty mobile apps.
Easy Management: Edit or delete handouts with simple action controls.


Web Interface Access:

  1. Navigate to UMS >> My Courses
  2. Click View > for the desired classroom
  3. Select Handouts from the submenu

Adding Handouts

Step 1: Create New Handout

Access Requirements
  • Faculty must have access to the specific course
  • Ensure you're in the correct classroom before adding handouts

Follow these steps to add a new handout:

  1. Click + Add Handouts button
  2. Enter the Title for your handout (e.g., "Lecture Notes - Chapter 1")
  3. Select the appropriate Unit from the dropdown menu
  4. Specify the Topic the handout addresses
  5. Click Choose File to upload your document (PDF, DOC, PPT supported)
  6. Add any relevant External Links for supplementary resources
  7. Click Add Handout to save and publish

Step 2: Managing Existing Handouts

To edit or remove handouts:

  1. Locate the handout in the handouts table
  2. Use the Actions column to:
    • Edit: Modify title, unit, topic, or files
    • Delete: Remove the handout permanently

Student & Faculty App Integration

Student App Access

Handouts automatically appear in the Student App under: Learning Management >> Courses >> Resources

Faculty App Access

Faculty can view and manage handouts through: Academics >> [Subject Name] >> Resources

Automatic Synchronization

All handouts uploaded via the web interface are automatically synchronized and available across all platforms within minutes.

After successfully adding handouts, you should see:

  • Immediate Availability: Handouts appear in the classroom handouts table
  • Student Access: Students can view and download materials through their app
  • Organized Display: Materials are properly categorized by unit and topic
  • File Integration: Uploaded files are accessible with a single click
  • Mobile Compatibility: All handouts work seamlessly on mobile devices

File Requirements
  • Supported Formats: PDF, DOC, DOCX, PPT, PPTX
  • File Size Limit: Maximum 10MB per file
  • Naming Convention: Use descriptive filenames for better organization

  • Consistent Naming: Use clear, descriptive titles for easy identification
  • Unit Organization: Always assign handouts to the correct unit
  • Regular Updates: Keep handouts current and remove outdated materials
  • External Links: Verify that external URLs are accessible to students

Q: Can I upload multiple files for a single handout? A: Currently, you can upload one file per handout entry. For multiple files, create separate handout entries or use external links to cloud storage.

Q: How do students receive notifications about new handouts? A: Students receive automatic notifications through the mobile app when new handouts are added to their enrolled courses.

Q: Can I schedule handouts to be released at a specific time? A: Handouts are published immediately upon creation. For time-sensitive materials, consider using the external links feature to control access timing.

Q: What happens if I delete a handout that students have already downloaded? A: Students retain downloaded copies on their devices. However, the handout will no longer be accessible through the platform.

Q: Can I see which students have accessed specific handouts? A: Access analytics are available through the Reports section of the classroom for tracking student engagement with materials.
