The Leaves module provides faculty members with comprehensive leave management capabilities, enabling independent submission of leave requests, real-time balance tracking, and integrated class reassignment workflows. This centralized system streamlines the entire leave process from application to approval while ensuring educational continuity through automated reassignment features.

Accessing Self Service Leaves

ℹ️ Navigate to the leaves dashboard to view comprehensive leave information and access all leave-related functions

  1. On the left side of the main menu, go to Self ServiceLeaves
  2. View comprehensive leave dashboard with balance overview with upcoming holidays list, along with actionable items of leave management
  3. Access three primary action buttons: View Timetable, View Policies, and Request Leave
  4. Review the upcoming holidays list for strategic leave planning around institutional events

Leave Balance Management

ℹ️ Monitor your complete leave allocation and usage patterns through the intuitive dashboard interface

  1. Review Total Leave Balance showing your overall allocation across all available leave types
  2. Monitor individual leave type balances including Casual, Sick, Earned, and other institutional leave categories
  3. Track used leaves versus total allocation with visual progress indicators and remaining balance displays
  4. View upcoming holidays list with specific dates for strategic leave planning and extended break coordination

Leave Request Submission

ℹ️ Submit new leave applications with all required documentation and automatic validation

  1. Click Request Leave button
  2. Select Leave Type from dropdown (mandatory field), Leave period (dates), provide detailed Reason for leave request
  3. Submit request for supervisor approval
  4. Click on View (eye) icon for leave request details in one tab. Default Leave Request status is "Open." If you wish to cancel your leave, choose "Cancelled" status
  5. Click on Save button

Leave Request Tracking

ℹ️ Monitor all your leave requests through the comprehensive tracking interface with detailed status information

  1. Access the My Request tab to view your complete personal leave request history
  2. Review Leave Type, From Date, To Date, Status, and Actions columns for each submitted request
  3. Track status indicators including Approved, Rejected, and Cancelled with color-coded displays
  4. Access detailed request information through the Actions column for comprehensive request details
  5. Use pagination controls to navigate through extensive request history and past submissions

Team Leave Management (For Managers)

ℹ️ Access supervisory functions to manage team leave requests and ensure operational continuity

  1. Access Team Request tab next to the My Request tab on Dashboard screen
  2. Review team member leave requests requiring approval
  3. Click on View (eye) action icon. In Leave Request tab, In Status field, approve or reject or cancel leave request considering operational requirements and team availability. Approved/Rejected/Cancelled status is reflected for the leave applicant under Self Service >> LeaveMy Request tab of Leave Dashboard
  4. In Classes Re-assignment tab, you (Manager) can view the classes that have been reassigned by your team members. Considering operational requirements and team availability, approve/reject leave request(s)

Class Reassignment During Leave

ℹ️ Ensure educational continuity by reassigning classes to qualified colleagues during your absence

  1. Navigate to Classes Re-assignment tab when leave affects teaching schedule
  2. Review subjects requiring reassignment during leave period. Select subjects from available options; click Reassign Selected and choose Subject to Reassign To & select Faculty from available instructors
  3. Click on Submit Reassignment to ensure continuity of academic operations

Viewing Policies

  1. Current leave policy documentation is available at View Policies button
  2. Review policy name, effective dates, and detailed eligibility criteria for different leave types

Viewing Class Timetable

ℹ️ Review your teaching schedule and identify potential class conflicts for strategic leave planning

  1. Click View Timetable to review teaching schedule and identify class conflicts
  2. Plan leave requests strategically around academic commitments
  3. Review class timings, subject names, and course codes across Monday to Saturday schedule
  4. Examine your weekly teaching schedule to avoid conflicts with important academic activities
