Leave Request

A Leave Request is a formal application that an employee submits to their Reporting Manager (RM) to ask for permission to take time off from work.

→ Leave requests raised by the employees under My Kiosk --> Leave Tracker --> Apply Leave show up here. Choosing a Date Range lets you filter down on leave requests falling between those two dates.

→ The request typically includes the leave type, the number of days requested and the date range, and furnishing a reason for the leave.

→ The RM would, after reviewing the submitted request, either approve or reject it based on the company's policies and the employee's leave balance by clicking on 'Approve' or 'Reject' button accordingly [See screenshot below].

Simple View

For a summary of the selected employee's leave request info including request age and timeline and then either Approve or Reject, click on the View (eye) icon (above screenshot).

Detailed View

Book icon (preceding the eye icon from above screenshot) provides details about the specific leave request such as Type of Leave, Leave Period and Duration, Date Applied, Status (default is "Pending"), and Reason for Leave.

Additionally, there are two tabs here.

  • Pending Reassign: This indicates that the leave request has been submitted, but the reassignment of classes or responsibilities to a colleague has not yet been completed. The employee must ensure that all their duties are reassigned to another faculty member who can cover their responsibilities during the leave period.

    • Leave Application Submitted: When an employee submits a leave application, it initially goes into a pending state.
    • Reassignment of Responsibilities: The system checks for any scheduled classes, meetings, or duties that need to be reassigned.
    • Status Update: The leave request is marked as "Pending Reassign" until the employee successfully reassigns their responsibilities to a colleague.
    • Notification: The concerned faculty and potential assignees are notified about the pending reassignment tasks.
  • Reassign Requested: This means that the request to reassign classes or responsibilities has been made, but it is awaiting confirmation from the designated assignee. The assignee will receive the request through the Faculty Mobile App and needs to confirm their availability to cover the sessions or responsibilities during the leave period.

    • Reassignment Request Sent: Once the employee identifies and requests a colleague to take over their responsibilities, the status changes to "Reassign Requested."
    • Confirmation by Assignee: The designated colleague receives the reassignment request through the Faculty Mobile App and must confirm their availability to cover the duties.
    • Status Update: After the assignee confirms, the system updates the leave request status from "Pending Reassign" to "Reassign Confirmed," completing the reassignment process.

Change Timetable Requests helps to ensure that there are no pending reassignment requests for classes or duties. It is essential to manage these requests efficiently to maintain smooth operations during the leave period.

Past Leave Requests

The purpose of 'Past Leave Request' [previous screenshot] is to view leave requests that have been submitted within a specified date range. This feature helps users track and review historical leave data.

New Leave Request

As you know, employees apply for leave under HRMS > My Kiosk → Leave Tracker. New Leave Request here allows you to submit a new leave request on behalf of an employee. The process for viewing, tracking, approving/rejecting that leave is identical to that of the 'My Kiosk' and 'Leave Request' sections.
