Student Promotions

Overview

The student promotion process has undergone a significant refinement, transitioning from the previous "Student Bulk Edit" method to the more streamlined Student Promotions system. This enhancement addresses critical challenges previously encountered, leading to improved data accuracy and operational efficiency.


Important Considerations

To ensure the integrity and accuracy of student data, you are advised to adhere to the following guidelines:

  • Course Registration Prerequisite: It is imperative that all course registrations are accurately completed before initiating the student promotion process.
  • Semester-Based Promotion: Student promotions should be executed once per semester. This ensures the availability of precise and up-to-date data for critical functions such as:
    • Payment processing
    • Examination scheduling
    • Report generation
  • Irreversible Process: Once the Student Promotions process has been initiated, it cannot be paused or stopped. Please ensure all prerequisites are met and data is verified before commencing.

Benefits

Previously, managing student academic progression presented several complexities, like

  • Data Visibility: Information for detained or readmitted students often became obscured, making it difficult to track their academic standing and history.
  • Minor Degree Management: Students pursuing Minor Degrees simultaneously with their primary studies required meticulous timetable planning to avoid scheduling conflicts.
  • Scheduling Inefficiencies: The lack of a unified promotion mechanism led to disorganized student scheduling and planning.

The new Student Promotions system concurrently accommodates students, ensuring their academic information remains visible and accessible. This greatly simplifies the management of complex student scenarios, such as those pursuing Minor Degrees, by facilitating efficient timetable allocation and preventing scheduling jumbles.


  1. Navigate to Student Central >> Student Promotions. This area presents a table displaying information about different semesters, batches, courses, programs, their status (Active or Promoted), and available actions (View).
  2. Click on Create Active Semester located at the top-right corner of the interface to initiate a new promotion cycle or set up a new active semester.
  3. Define the new Active Semester details and Submit.
  4. Click on View to review and manage students within the Active Semester.

  1. Promote Students (at the top right corner) is the primary action to promote all active students in this list to the next academic semester.
  2. You have the option to Detain student under Action. Enter Remark and Submit.
  3. Next to 'Promote Students' is Re-Admit Student for re-admitting students who were previously detained, allowing them to re-join the active student list for a particular semester. Enter the student's Roll No., Select Classroom and enter a Reason for readmission, Review and Submit.
  4. The 'Detained Students' tab will give you the complete list of detained students.

  • A significant feature of the new Student Promotions system is its intelligent automation of semester creation. Once an academic journey begins, for instance, with the creation of Semester-1, the system is designed to automatically generate the subsequent semester upon successful promotion of students from the preceding one.
    For example, after students are promoted from Semester-3, the system will automatically create Semester-4, ensuring a seamless and continuous academic pathway. This automated creation continues throughout the student's degree program, eliminating the need for manual setup of each subsequent semester. Users only need to focus on promoting students within the current active semester, and the system handles the progression to the next.

  • This automation significantly reduces administrative overhead and ensures that the academic structure is always prepared for the student's next stage of learning, from the very first semester through to the completion of their degree.
