Configuration Setup

● Lead Statuses

Configure status categories to track lead progression and engagement levels throughout the admission journey.

Steps to Configure Lead Statuses:

  1. Navigate to Configuration > Enroll > Lead Statuses
  2. Click Lead New Status button to create new status categories
  3. Enter Status Name with descriptive terms (e.g., Interested, Follow-up Required, Application Submitted)
  4. Choose a unique Colour Code for visual recognition and quick identification
  5. Click Create Status button to save the new lead status


● Lead Sources

Set up source tracking to identify the most effective recruitment channels and optimize marketing efforts.

  • Source tracking helps analyze which channels generate the highest quality leads
  • Examples include website inquiries, social media ads, referrals, walk-ins, education fairs
  • Accurate source data supports strategic marketing decisions and budget allocation

Steps to Configure Lead Sources:

  1. Navigate to Configuration > Enroll > Lead Sources
  2. Click Add New button to create source categories
  3. Enter Source Name (e.g., Website, Social Media Ads, References, Walk-in Inquiries, Education Fair)
  4. Click Submit button to save the lead source configuration


● Quota Configuration

Establish quota categories for managing different admission types and seat allocations per program.

  • Quota systems ensure compliance with institutional policies and government regulations
  • Different quota types may have varying fee structures and eligibility criteria
  • Proper quota setup is essential for accurate admission processing and reporting

Steps to Configure Quotas:

  1. Navigate to Configuration > Enroll > Quotas
  2. Click New Quota button to create quota categories
  3. Enter Quota Name for the selected degree (e.g., General, Management, NRI, Sports)
  4. Select the applicable Degree from the dropdown menu
  5. Click Create Quota button to save the quota configuration


● Caste Configuration

Set up caste and sub-caste categories for reservation policy compliance and accurate student classification.

  • Sub-caste details may be required for specific scholarship and reservation benefits

Steps to Configure Caste Categories:

  1. Navigate to Configuration > Enroll > Caste
  2. Click New Caste button to add caste categories
  3. Enter Caste details in the main category field
  4. Specify Sub-Caste information for detailed classification
  5. Click Create Caste button to save the configuration


● Clusters

Organize students and coordinators into manageable groups for efficient administration and communication.

  • Each cluster requires a designated Cluster Head for leadership and coordination
  • Coordinators assigned to clusters facilitate communication and student support

Steps to Configure Clusters:

  1. Navigate to Configuration > Enroll > Clusters
  2. Click Add New button to create cluster groups
  3. Select Batch from the dropdown menu to specify the academic year
  4. Choose a descriptive Cluster Name for easy identification
  5. Select the Cluster Head who will manage and coordinate the cluster
  6. Choose Coordinators to be part of the cluster for support and assistance
  7. Click Submit button to save the cluster configuration


● People and User Profiles

Assign user profiles and roles to department staff for proper access control and responsibility allocation.

  • User profile relations define access permissions and functional responsibilities
  • Profiles include Admin, Counsellor, and other enrollment-specific roles
  • Proper role assignment ensures security and appropriate system access

Steps to Configure User Profile Relations:

  1. Navigate to Configuration > Enroll > People
  2. Click Add User Profile Relation button to assign roles
  3. Select Department from the dropdown menu
  4. Choose User(s) from the department staff list
  5. Assign appropriate Profile (Admin, Counsellor, etc.) based on responsibilities
  6. Click Confirm button to save the user profile assignments


● Fee Structure

Configure comprehensive fee structures supporting multiple fee types, payment options, and quota-specific variations.

Important Info
  • Fee structures vary by batch, degree, program, and quota categories
  • Multiple fee types can be configured including admission, examination, hostel, and miscellaneous fees
  • Payment options include single payment and minimum amount requirements
  • Lateral entry students may have different fee structures

Steps to Configure Fee Structure:

  1. Navigate to Configuration > Payments > Fee Structure
  2. Click Add New Fee Structure button to create fee configuration
  3. Select Program Details:
    • Choose Batch (academic year)
    • Select Degree and Program from dropdown menus
    • Specify applicable Quota category
    • Check Lateral Entry box if applicable
  4. Configure Fee Components:
    • Click + icon to add fee types (Admission Fee, Examination Fee, Caution Deposit, Bus Fee, Hostel Fee, ID Card Fee, Library Fee)
    • Enter Amount for each selected fee type
    • Configure Single Payment option if entire amount must be paid at once
    • Set Minimum Amount requirements if partial payments are allowed
    • Configure additional fee parameters as needed
  5. Click Submit button to save the fee structure
  6. Use Edit icon to modify existing fee structures when needed

● Counsellors

  • Counsellor assignments enable accountability and personalized student support

Steps to Configure Counsellors:

  1. Navigate to Enroll > Counsellors
  2. Click Add Counsellor button to assign counseling roles
  3. Select Employee from the list of active users in the system
  4. Click Submit button to confirm the counsellor assignment

Managing Counsellor Assignments:

  • View all assigned counsellors in the counsellors list
  • Remove counsellor assignments using the available management options
  • Monitor counsellor performance and lead conversion rates
