Enrollment - Lead Management

Overview

Lead Management is part of Enrollment. This article explains how to track Lead Journey, assign Leads to Counsellors, identify the best Lead Sources, get insights into expected admissions volume based on pipeline activity as well as higher conversion rates, and converting Leads into successful admissions.

Types of Leads

Leads are categorized based on the likelihood of joining.

Prerequisites
  • Configure Lead Statuses.
  • Define Lead Sources.
  • Set up Quota & Caste details.
  • Add Counsellors
  • Fix a fee structure (academic fee, examination fee, etc.)

Adding Counsellor

Important Information
  • A counsellor needs to be officially registered within the institution’s system to ensure accountability.
  • The assigned counsellor will be responsible for following up, providing information, and converting leads into successful admissions.

Steps to add / remove counsellor

  1. Go to Enroll > Counsellors.
  2. Click Add Counsellor and select from the list of users.
  3. To remove the counsellor, click on the kebab (3 dots) menu and click on Remove as Counsellor.

Creating Admission Notifications

Information
  • Admission notification is decided by the college based on entrance exams and student intake capacity.
  • Admissions occur in phases, owing to the large number of applications.

Steps to create admission notification

  1. Navigate to Enroll > Admissions > New Notification.
  2. Enter Notification Name, Degree, Program, Batch, and timeframe.
  3. Click on Create Notification.

Setting up Fee Structure

Information
  • Fee structures vary by quota, program, and branch, as determined in Configuration.

Steps to setting up fee structure

  1. Navigate to Fee Structure Settings.
  • Go to Configuration > Fee Structure.
  • Click on Add New Fee Structure.
  1. Select Batch & Program Details.
  • Choose the Batch, Degree, and Program from the dropdown menus.
  • Specify the Quota applicable for the fee structure.
  1. Define Fee Components.
  • Add different Fee Types such as Admission Fee, Hostel Fee, Exam Fee, etc.
  • Enter the Amount for each fee type.
  1. Set Payment Preferences:
  • Indicate if the fee is a Single Payment or requires installments.
  • If applicable, enable Minimum Fee Requirements and specify the amount.
  1. Apply Restrictions (if needed).
  • Check the Restrict Fee option if certain conditions apply.
  1. Finalize & Submit.
  • Review all details for accuracy.
  • Click Submit to save the new fee structure.

Lead Management

Information
  • Manage enrolment leads by tracking prospects and categorizing them based on their status.
  • Lead details include key information like source, stage, counsellor assignment, and follow-up status based on category.

Steps to add Leads

  1. Go to Enroll > Leads.
  2. Navigate to Add New > Add New Lead for adding a single Lead. Enter details such as
    • First and Last Name
    • E-mail Id
    • Mobile No.
    • The Degree, Program, Batch (year) the student wishes to enroll in.
    • The Lead Source (website / social media / reference / walk-in, etc.)
    • Lead Status/Type.
  3. Navigate to Add New > Import Leads for bulk import of multiple leads. Select Degree, Batch, and Import file.
  4. Lead records are available at Enroll > Leads.

Steps for conversion to admission

  1. Go to Enroll > Leads.
  2. Select a Lead and click on the corresponding View (eye) icon.
  3. Fill up Basic, Education, Nurturing details and upload relevant Documents.
  4. At the right top corner, click on kebab (3 dots) preceding the Save button. Select Convert to Admission.
  5. In the Admission Conversion form,
    • Choose the degree from the dropdown menu.
    • Select the batch.
    • Specify the quota (Convenor / Spot / NRI / Management).
    • Choose the relevant admission notification.
    • Click the checkbox if the lead is a lateral entry.
    • Choose the appropriate phase of admission (Phase 1, Phase 2, or Phase 3).
  6. After filling in all details, click the Submit button to convert the lead to admission.

Common Issues & Solutions

🛑 IssueSolution
Unable to add CounsellorMake sure the Counsellor is a registered user.
Student admission not confirmedCheck whether the student has fully met admission criteria and that all details have been duly filled.
Fee column empty or wrongCross check whether fee structure has been properly configured under Configuration > Payments > Fee Structure
Useful tips
  • Configure beforehand the fee structure for each course, quota, and caste for smoother Lead conversion.
