Student Services
Overview
CampX introduces a powerful new feature: a fully configurable and automated certificate generation system using the Print Designer Tool. This allows institutions to design and issue student certificates like Bonafide or Transfer Certificates etc., digitally or physically using dynamic templates called Print Formats.

Step 1: Configuring a Student Service

Navigate to Student Services in configurations. Click on an available Student Service.

Add Payment Information (if applicable).

Fee Payment Options: Choose whether payment is required. If yes, select between:
- Flat Payment: Fixed amount per request.
- Incremental Payment: Pricing based on number of student requests.

Copy Types: Toggle Digital Copy and/or Physical Copy.

Print Designer: Enable Generate Certificate using Print Designer to generate digital copy of certificate.

Configure Sections for approvals:
- Each section represents a department and has an approver.
- All the added section's approval is mandatory to complete a student request.

Add Additional Fields (e.g., Reason, Date of Issue).

Add Print Formats
- Click New Print Format button to add a print format.
- A print format is a design of the certificate.
- There can multiple formats for a single service.
- While processing a student request, the user can choose from available formats to generate the digital copy.

Lastly define Student Eligibility Rules.
- Add multiple degree and semester mappings.
- Only students from the specified degree and semester can request the service.
- The "Provide Digital Copy" toggle cannot be enabled unless the "Generate Certificate Using Print Designer" option is also turned on.
Step 2: Designing the Certificate Using Print Designer
- Navigate to the Print Formats tab of the student service.
- Either add a format by clicking New Print Format. Or edit a format by clicking View Icon to open print designer.
- Once launched the Print Designer make the edits to design.
- Use drag-and-drop components to design your certificate layout.
- Add placeholders for fields like student name, course, batch, etc.
- Customize fonts, alignment, borders, and more.
- Save the format.
- Don't edit or delete additional fields once they are used in a Print Format.
- Editing or deleting the additional fields that are used in a print format leads to blank field in its place.
Step 3: Creating a service request
- Students can request a service from the Student Web App by navigating to the Student Services tab.
- They have to click Create New Request button. Choose a service to create the request.
- For a student, "Download Digital Copy" button in services where a digital copy is provided will be enabled once approval from all the departments (if any) is received.
- The digital copy once generated can be downloaded by the Student service request administrator at any point.
Step 4: Sending a request for Approval
- Open - The student has either created or reopened the request.
- Approval Pending - The request has been submitted and is awaiting approvals from the assigned sections.
- Completed - All necessary approvals are completed.
- Rejected - One of the approvers or the user has rejected the request.
- The requests can be managed by user in the All Students > Student Services Requests tab.
- For each request the user verifies the details, clicks the Send for Approval to initiate the approval process.
- If the Generate Certificate using Print Designer is enabled the user needs to generate the digital copy of the certificate before proceeding.
- Otherwise, the user can directly click the Proceed .
- Generating a digital copy involves three step process.
- filling in the configured additional fields, designing and publishing the digital copy in the print designer and reviewing the output (certificate).
- Once verified, the user clicks Proceed .
- After all required approvals from the sections (if any) are completed:
- The digital copy becomes available for students to download in the Student Web App.
- The physical copy should be created by downloading the digital copy by the user.
- If there are no approvers for a service. The Send for Approval button directly completes the request.
- The user has to print the physical copy of the certificate himself.
- Edits made for a single student certificate doesn't alter the format created.
- Students have the option to reopen a request if it has been rejected.
- Upon reopening, the same approval workflow will be triggered.
- Approvals already received from any section will remain valid and do not need to be obtained again.
Approving a Request
- Approved - The section’s approver has approved the request.
- Rejected - The section’s approver has rejected the request.
- Pending - The request is waiting for this section's action.
- Not Started - This section hasn't been activated yet.
- Approvers can navigate to the Profile Icon > My Requests page to view pending approvals.
- Approver can either approve or reject the request.
- All the approvers can preview the digital copy of certificate that is created using print designer before approving.
