Self-Service - Leave & Workload Management

Overview

Self-Service is an essential feature designed to streamline faculty leave management and task delegation. This article provides a comprehensive guide on initiating leave applications, tracking their approval or rejection, and ensuring seamless task reassignment to fellow faculty members during an absence.

Applying Leave

Information
  • User can apply for a leave via Faculty Mobile App as well as Web Application, both.
  • Leave request will be auto-updated in ERP.
  • The Reporting Manager (RM), at their discretion, will then approve or reject Leave via Web Application.
  • The RM or a higher authority can also apply for leave on behalf of the faculty member.

Steps to apply for a Leave

  1. Navigate to Self Service and go to Leaves.
  2. Click Request Leave.
  3. Select Leave Type, Leave Period (dates), and furnish a Reason.
  4. Click on Submit.
  5. In the Leave Request tab (first tab), click on Save.

Reassigning Classes

Information
  • Confirm your colleague's availability.
  • Reassign Classes to your colleague, considering they do not override your colleague's.
  • Only instructors with free slots during the leave applicant's class times will appear in the dropdown for reassignment.
  • Classes can be reassigned to instructors in other departments/programs who teach the same subject matter.

Steps to Reassign Classes

  1. Navigate to Self Service and go to Leaves.
  2. Navigate to second tab - Classes Reassignment.
  3. Elect the Subjects to reassign.
  4. Check the checkbox of the Subject.
  5. Click Reassign Selected.
  6. In the window, select the Subject and the Faculty you wish to Reassign to.
  7. Click Submit Reassignment.

Approving/Rejecting Leave

  • The Reporting Manager (RM) holds the discretion to approve or reject leave requests, ensuring alignment with operational needs.
  • Leave requests are typically approved once class reassignment is successfully completed, maintaining continuity in scheduling.

Steps to Approve Leave

  1. Login into the Application as the Reporting Manager.
  2. Navigate to Self Service and go to Leaves.
  3. Select Team Request tab.
  4. Select the team member who requested the leave.
  5. In Leave Request tab, change Status option to 'Approved' (or 'Reject' as the case may be) and click Save.
  6. Approval Leave will automatically render the Class Reassignment approved.


Common Issues & Solutions

Unable to apply for Paid LeaveEnsure you have enough Leaves in your kitty.
Leave request not seen in RM's Team Request listDouble check whether you submitted and saved the Leave Request.
Leave balance is incorrectRefresh the page.

  • Submit leave requests in advance to avoid confusion and ensure workflow continuity.
  • Reassign classes/responsibilities thoughtfully to colleagues for a smooth transition.
  • Adhere to Leave Policy and Leave Type to ensure proper payroll processing and avoid Loss of Pay (LOP).
  • Applied leave can be canceled by the requester or their Reporting Manager (RM). To cancel, select 'Cancel' from the 'Status' dropdown. Upon cancellation, leave will be restored to the balance.
