Exam Publishing Readiness Checklist
Overview
Before publishing an exam, it's crucial to ensure that course data, internal/external marks, and exam configurations are accurately verified. This ensures smooth registration, correct marks calculation, and valid hall ticket visibility.
Key Steps
→ Cross-verification of subject data across modules.
→ Confirm internal marks are calculated and accumulated properly for each subject.
→ Ensure external max marks for each subject are set correctly.
→ Final exam configurations for hall ticket and revaluation settings.
Step 1: Verifying Subject Details
- Only subjects listed in the Courses tab will be visible for student registrations.
- Ensure "Is Graded Course" option is enabled for each subject (mandatory for SGPA and CGPA calculation)
- Mismatches will prevent students from registering or viewing subjects.
Follow these steps to verify subject information
- Navigate to External Exams in the Examinations Module and select the required notification.
- Navigate to Registrations Page and go to Courses tab.
- For each course, carefully check and verify the Subject code, Subject name and Subject type.
- Cross-check with the Master Courses listed on the Courses page in the Admin Module.
- Click the 👁️ eye icon next to each course to view details and confirm consistency.
- Confirm "Is Graded Course" toggle is enabled for graded subjects.
- Make sure that Course Registrations are completed.
Step 2: Verify Internal and External Max Marks
- Internal and External Max marks contribute to the final grade and must be correctly configured before publishing.
Follow the Steps below to verify Max Marks
- Navigate to All Courses in the Admin Module.
- Click on a Course to view External and Internal Max Marks. If needed, Click on Edit and change the Marks.
- If External Max Marks are edited, Student Registrations must be updated in the External Notification.
- If Internal Max Marks are edited, User needs to filter the required subject and click on Get Marks to get the updated Internal max marks.
Step 3: Verify Course Registration Mapping
- Only registered subjects appear for students in exam registration.
Follow the Steps below to verify Course Registrations
- Navigate to Course Registrations in the UMS.
- Apply the Filters to get the required Courses.
- Ensure all relevant subjects and their codes are correctly mapped and registered for each student.
Step 4: Review Hall Ticket Visibility and Revaluation Options
- These visibility settings control what the student can view or act on from their portal.
Follow the Steps below to verify Course Registrations
- Navigate to the required Exam notification in the Exams Module and Click on Exam Configuration.
- Check and Update the following toggles : Hall Ticket Visibility and Enable Revaluation.
- Ensure these toggles are ON for all applicable subjects before Exam publication.
