Configuring Pre-requisites for managing exams

Overview

This document outlines the pre-requisites that need to be configured for managing Internal and External Examinations effectively in CampX. The process includes creating assessment types, defining grading rules, setting pass percentages, and verifying configurations.

→ Create Grade Templates for evaluations and result calculations.
→ Configure Passing Criteria for internal, external, and overall evaluations.
Validate Course Batch Configurations to ensure all settings are correctly applied.

Prerequisites
  • Ensure Courses are already configured in the system.
  • Ensure necessary permissions are granted to faculty/admin roles for configuring assessments.

Step 1 : Adding Assessment Types

Information
  • Assessment types define how students are evaluated within a course.
  • Example: Assignments, Quizzes, Mid-Term Exams, Final Exams, Lab Tests, etc.

Step 2 : Configuring Assessment Rules

Information
  • Assessment rules define the structure of evaluation, including weightage and calculations.
  • Institutions may conduct continuous internal evaluation through individual or grouped assessments.
  • Assessment Rules can be assigned to Courses in a Program for each batch.

Step 3: Adding Grade Templates

Information
  • Grade Templates define how marks are translated into grades.
  • Supports Absolute and Relative Grading.
  • Grade Templates can be assigned to Courses in a Program for each batch.

Steps for Adding Grade Templates

  1. Navigate to Grade Templates in Exam Configurations.
  2. Click on Add New Grade Template and enter a template name.
  3. Select Grading Type from either Absolute (Fixed grade boundaries) or Relative (Grade distribution based on class performance) and click on Create.
  4. Open the newly created Grade Template and Click on Add New Grade.
  5. Enter the required detailed in the form i.e., Grade Letter (A, B, C, etc.), Letter Name (Distinction, Pass, Fail, etc.), Points (Used in GPA calculation), Min Marks and Max Marks range.
  6. Mark Is Absent Grade or Is Fail Grade if applicable and click on create grade.

Step 4: Configuring Internal, External, and Overall Pass Percentages

Information
  • Internal, External, and Overall Pass Percentages must be defined for each subject.
  • These settings determine eligibility for final results.

Steps to Configure Pass Percentages

  1. Navigate to Programs in Admin → Academics and Click on a program to view regulation wise courses.
  2. In the desired regulation, Click on a Course to view the Course page.
  3. Scroll to Assessment Template Section and Click on the Assessment Template button.
  4. Assign the following for each batch: Assessment Template, Grade Template, Internal Max Marks, External Max Marks, Internal Pass Percentage, External Pass Percentage, Overall Pass Percentage.
  5. Click Save and the Configurations will be applied to the particular course in a Program.

Step 5: Verifying Configurations

Information
  • Users must verify if the Assessment Templates, Grade Templates, and Pass Percentages are applied correctly across courses.
  • This can be checked in the Course Batch Configuration Report.

Steps to Verify Configurations

  1. Navigate to Classrooms in UMS
  2. In Classroom Reports, Open Course Batches Configuration Report under Course Reports.
  3. Select Batch/Program to check the configured assessments.
  4. Ensure all subjects have Assessment Templates assigned, Correct Grade Template and Pass Percentages properly configured.

Common Issues & Solutions

🛑 IssueSolution
Assessment types not appearingEnsure the types were created in UMS > Assessments > Assessment Types.
Grades not visible in reportsVerify the Grade Template is assigned in Step 3.
Pass Percentage not updatingCheck that the subject has correct internal/external percentages set in Step 4.
Courses missing in Batch Configuration ReportEnsure the Assessment Template is linked to all subjects in Step 5.
Grouping not applied correctlyVerify if groups are assigned properly in Assessment Templates (Step 2).
Useful Tips
  • Ensure all templates are created before assigning to courses.
  • Use the verification report to cross-check configurations before finalizing assessments
  • Keep a reference of pass percentage rules to ensure consistency across courses.
